Privacy Policy

Ask Nexora ("we", "us", "our") is committed to protecting your privacy. This policy explains what data we collect when you use the Ask Nexora platform, how we use it, and what rights you have over it.
1. Information We Collect
When you create an account, we collect your email address, name, and authentication credentials managed through Clerk.
When you use the platform, we collect usage data including token consumption, conversation metadata (not conversation content by default), and feature interactions.
When you upload files or add URLs to your knowledge base, those documents are stored and indexed on our infrastructure to power your assistant.
When you connect third-party AI providers (OpenAI, Anthropic, Google, etc.), we store your encrypted API keys to make requests on your behalf.
We collect billing information through our payment processor. We do not store raw card numbers.
2. How We Use Your Information
To operate and provide the Ask Nexora platform — including processing your knowledge base, routing messages to AI providers, and managing your assistant configurations.
To calculate token usage and apply it against your plan limits or purchased token packs.
To send transactional emails such as account confirmations, billing receipts, and plan notifications.
To monitor service health, debug issues, and improve platform performance.
We do not sell your personal data or knowledge base content to third parties.
3. Data Storage and Security
Your data is stored on secure cloud infrastructure. Knowledge base documents, API keys, and configuration data are encrypted at rest.
API keys for third-party providers are stored in encrypted form and are never exposed in plain text after initial entry.
We implement access controls to ensure only authorised personnel can access production data, and only for support and operational purposes.
We use HTTPS for all data in transit.
4. AI Provider Data Sharing
When you use the platform with a third-party AI provider (OpenAI, Anthropic, Google Gemini, Groq, Mistral, xAI, DeepSeek), your conversation messages and retrieved knowledge base context are sent to that provider's API to generate responses.
Each provider has its own privacy policy and data handling practices. We recommend reviewing the privacy policies of any provider you connect.
If you use Ollama (local model), no data is sent to any external AI provider — all processing happens on your own infrastructure.
5. Knowledge Base Content
Documents and URLs you add to your knowledge base are stored and indexed to power your assistant. This content belongs to you.
We do not use your knowledge base content to train our own models or share it with other users.
You can delete knowledge base items at any time from the dashboard. Deleted items are removed from the retrieval index.
6. Cookies and Tracking
We use essential cookies for authentication session management via Clerk.
We may use analytics cookies to understand aggregate platform usage. These do not track individual conversation content.
You can disable non-essential cookies in your browser settings.
7. Your Rights
You have the right to access, correct, or delete your personal data at any time by contacting us.
You may request an export of your account data.
You may close your account at any time. Upon account deletion, your personal data and knowledge base content will be permanently removed within 30 days.
If you are in the European Economic Area, you have rights under the GDPR including the right to object to processing and the right to data portability.
8. Data Retention
We retain your account data for as long as your account is active.
Billing records are retained for a minimum of 7 years as required by applicable financial regulations.
Conversation metadata (channel, timestamp, token count) is retained for analytics purposes for up to 12 months.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or a notice in the platform dashboard.
Continued use of the platform after changes are posted constitutes your acceptance of the updated policy.
